Frequently Asked Questions

Getting Started
What does the first call include? +
A 30-minute video or phone call with a senior engineer (not a salesperson). We review your current setup, ask about your pain points, and give you an honest assessment with specific recommendations. No obligations, no hard sell. Most clients tell us it is the most useful 30 minutes they have spent on their IT.
How quickly can we get started? +
After the initial consultation, we deliver a scoped proposal within 48 hours. For managed IT plans, onboarding typically takes 1-2 weeks. Project work (cloud migration, ERP, security audit) timelines vary but we can usually begin within a week of signing.
Do I need to sign a long-term contract? +
No lock-in. Our managed service plans run month-to-month after a 3-month minimum. Cancel with 30 days written notice. Project work is milestone-based with clear payment schedules. We earn your business every month.
What size businesses do you work with? +
The range runs from internet providers and regional payment platforms down to professional firms of twenty people. What decides the shape of an engagement is not headcount but what the system is worth when it stops, so a 30-person fintech and a 300-person distributor can end up with very different cover. We scope each one rather than fitting you into a tier.
Services and Support
How quickly can CloudSpinx respond to a critical IT issue? +
For managed clients, our SLA for critical issues (system down) is a 1-hour response with immediate action. Most critical issues are resolved within 2-4 hours. We are available 24/7 for on-call emergencies. P2 (degraded service) gets a 2-hour response.
Can CloudSpinx support businesses outside Nairobi? +
Yes. Remote support covers all of Kenya and East Africa. On-site visits are available in Nairobi (same day), Mombasa and Kisumu (next day). Eldoret by arrangement. We also support clients in Kampala and Dar es Salaam through remote access and on-site partners.
Which cloud providers do you work with? +
AWS, Microsoft Azure, and Google Cloud Platform. We are certified across all three and recommend based on your workload, budget and compliance requirements rather than vendor preference. Many clients run multi-cloud or hybrid setups and we manage all of them.
Do you handle ERP and business software? +
Yes. We implement and support Odoo and ERPNext, covering accounting, inventory, manufacturing, HR, payroll, and CRM. Kenyan localization is part of the work: KRA eTIMS, VAT, PAYE, NSSF, the Housing Levy and SHIF deductions under the Social Health Authority, which replaced NHIF.
What cybersecurity services do you offer? +
Security audits, penetration testing, 24/7 threat monitoring, incident response, compliance assessment, endpoint protection, email security, and staff training. Every engagement starts with a baseline audit so we know exactly where the gaps are before recommending solutions.
Pricing and Payments
How much does managed IT support cost? +
Managed IT support starts at around KES 15,000 a month for a small office on business-hours cover, and a 30-person business with cloud infrastructure and security auditing typically lands near KES 35,000. Project work runs from about KES 25,000. You get one monthly figure agreed in writing before you sign, and it holds for the contract term. The seven things that move the number are set out in how we scope and price an engagement.
What payment methods do you accept? +
M-Pesa (Paybill and Till), bank transfer (KES and USD), and major credit/debit cards. Managed services are invoiced monthly on the 1st. Project work follows milestone-based billing.
Can I mix and match services? +
Absolutely. Many clients start with a base managed IT plan and add project work on top: a cloud migration, a security audit, an ERP implementation. We scope and price each engagement separately so you only pay for what you need.
What uptime SLA does CloudSpinx offer? +
Two tiers, and the architecture decides which one you get rather than the sales conversation. A single machine, whether that is a dedicated server, a VPS or a managed cloud instance, carries a 99.9% uptime SLA. That is the honest ceiling for one box: a kernel patch and the reboot behind it already spend a good part of the monthly allowance. Where we build the redundancy ourselves, a Proxmox or OpenStack cluster, a Windows failover cluster, a Zimbra HA pair, the SLA is 99.99%. If a provider quotes you four nines on a single server, ask them which component can fail without you noticing.
What is included in 24/7 monitoring? +
Automated monitoring of uptime, server performance, disk usage, security events, and network health. Critical alerts wake our on-call engineer immediately. You get a monthly report showing uptime, incidents, and recommendations. This is included in all managed plans.
Working With Us
How is CloudSpinx different from a global systems integrator? +
Scale and distance, mostly. A global firm brings a deep bench and a proven methodology, and you pay for both, usually while the people who sold the engagement hand delivery to juniors flown in for the phase. We are smaller, based in Kenya, and the engineer who scopes your work is the one who builds it. For a regional platform that needs someone on site the same day and answering at 3am, that matters more than the size of the bench.
We already have an IT team. Can we still use CloudSpinx? +
Yes, and co-managed is the shape we recommend most often to organizations that already employ good engineers. Your team keeps the floor and the institutional knowledge, we carry escalation, the deep platform work and the on-call rota. It costs less than either a full outsource or another senior hire.
Do you provide documentation and handover? +
Every engagement includes full documentation: architecture and network diagrams, configuration runbooks, credentials stored in your own vault, and team training. You own all of it. If you decide to move on, you have everything you need to operate without us, which is deliberate.
What industries do you specialize in? +
We serve finance and banking, retail and e-commerce, logistics and transport, manufacturing, healthcare and NGOs, and real estate. Each sector has specific compliance and technology requirements (PCI-DSS, KRA eTIMS, M-Pesa integration) and we bring that context to every engagement.
Security and Compliance
Do you help with Kenya Data Protection Act compliance? +
Yes. We help businesses implement data handling procedures, consent management, data subject rights, and breach notification protocols as required by the Kenya Data Protection Act 2019. We also assist with ODPC registration where needed.
Can you help with KRA eTIMS integration? +
Yes. Our ERP implementations include KRA eTIMS compliance by default. We configure electronic tax invoice generation, real-time reporting, and ensure your systems meet all current KRA requirements.
How do you handle our sensitive data? +
All client credentials are stored in encrypted vaults with role-based access. We follow the principle of least privilege. Our team signs NDAs before engagement. We never share client data with third parties and we document exactly who has access to what.
